Reliable grounding is inseparable from data authorization. Imagine a service representative asking an enterprise assistant to explain a warranty exception for customer A while the semantically closest Dataverse record belongs to customer B. The system should reject the inaccessible record before it reaches the model, preserve the authorized source version for a citation and avoid creating an answer from a document the caller cannot read. A model prompt telling the assistant to be careful is not a replacement for Dataverse roles, ownership rules and an authenticated retrieval boundary. The architectural decision is which service enforces access at every hop and how the team proves that a permission change invalidates stale cached context. The useful examination distinction is to name the caller identity, the permitted record set and the expected denial before naming a connector. A third-party AB-100 data-grounding practice case is relevant only if it tests those separate controls, not if it substitutes a product name for an authorization decision.
Consider a fictional insurance broker with customer accounts, renewal policies, broker notes, and public product information. A service agent should explain public coverage terms, summarize a particular authenticated customer’s renewal, and prepare a change request when the customer disputes the premium. The first task can rely on public reference content; the second needs record-level authorization; the third is a proposed business action that demands validated identity and an approval workflow. Calling all three “RAG” would hide the different controls.
Inventory sources by authority, sensitivity and freshness
Start with a source register. For each kind of information, identify the owner, system of record, update frequency, audience, effective dates, access model and permitted use. Product brochures may be broadly readable but can become obsolete when coverage terms change. A signed renewal contract is customer-specific and legally important. Broker notes may include preliminary interpretations or sensitive personal data and should not silently override a signed policy. An agent should know which source wins when the records disagree.
Classify the task before building a search index. The answer to “What does the standard excess mean?” may come from an approved, dated policy definition. “What is my excess?” requires an authenticated contract lookup. “Reduce my excess now” is an instruction to change contractual terms, not a knowledge question. Natural-language systems can make these feel like a single flow, but the architecture must retain a separate security and transaction boundary at each step.
Freshness is also a first-class requirement. A quoted price from last month’s policy can be worse than no answer. Store a source effective date and version, reject superseded material where possible, and return an explicit “needs current confirmation” state if records have not synchronized. Do not replace a missing authoritative figure with an answer assembled from related documents simply because the language model can compose one.
Apply Dataverse security at the record, not prompt, level
Microsoft Dataverse combines security roles, business units, team and user ownership, sharing and operation privileges. A user who can read an account table does not necessarily have the right to read every account row or write its records. The relevant access checks depend on the table design and the roles that apply to the authenticated user. Microsoft’s Dataverse security model is the place to establish these fundamentals before exposing business records to an agent.
In the brokerage example, two agents may ask identical questions about a renewal but receive different permitted results because they belong to different support teams. That is expected. The assistant must not reconstruct a forbidden contract from previous turns, index copies or another tool with broader access. If a reviewer temporarily gains access to resolve a case, cached results need a suitable expiration or authorization recheck so the earlier privilege cannot be used indefinitely.
Table access, record access and field sensitivity are not interchangeable. Even when a service can retrieve a record, the application may need to redact internal notes or limit the attributes returned to an external customer. Implement those controls at the service/data layer. A prompt instruction such as “do not mention the internal rating” is not enough if the untrusted conversation or tool arguments can induce the model to reveal it.
Distinguish Dataverse knowledge from privileged tool actions
A Dataverse knowledge source is used to ground answers; a tool or workflow performs a defined operation. Microsoft’s Dataverse knowledge-source instructions describe prerequisites that can affect deployment: Dataverse search must be enabled, the setup identity needs appropriate permissions, and the documented Dataverse-table knowledge integration requires Authenticate with Microsoft rather than manual or no authentication. That requirement is specific to this knowledge-source experience and must not be confused with authentication options for other Copilot Studio tools.
For the renewal agent, a knowledge experience might retrieve permitted policy records and explain them, while a separate prepare_renewal_change tool accepts exact validated values and returns a draft case reference. The tool should not automatically inherit every permission of the agent maker. Microsoft documents Copilot Studio authentication options, including when a tool operates with a user identity rather than a maker-provided connection. The service must still authorize the authenticated actor, record ID and requested change.
A secure tool result carries a typed state such as draft_created and a reference. It does not imply that the contract has been amended. Final authorization and commitment belong in the trusted business application, where approval and audit evidence can be preserved. Separating the explanation from the write operation helps the user understand what has and has not happened.
Model identity propagation through every hop
Map the identity in the browser, Copilot Studio session, connector, service gateway, database and external index. At each boundary ask whose credential is actually presented, which audience or scope the token grants, and whether the resource service validates it. Do not assume that because the user signed in to Microsoft Teams, every downstream API automatically operates with the user’s resource permissions. Connector configuration and supported channel behavior must be independently checked.
An agent-author connection may be intentionally granted broad read access to public reference material. It is unsuitable as the sole access control for reading private customer contracts unless the backend independently enforces customer authorization. For sensitive requests, prefer user-bound access or a trusted service that receives an authenticated user assertion and implements a rigorous resource check. Never rely on the model to choose an account ID from a message and treat that selection as proof of ownership.
Test revoked access. Suppose a broker leaves the firm after viewing several renewals. New requests must not obtain old records through a cached agent session or index that was built under privileged access. The system needs a coherent policy for rechecking authorization and invalidating or partitioning cached data. This is especially important for long-running conversations whose history may contain formerly authorized text. Retention and access to conversation transcripts deserve separate review.
Create retrieval rules that preserve evidence rather than plausible wording
Grounding quality combines relevance, authorization and provenance. The best-matching passage is not useful if it belongs to another customer, quotes an expired agreement, or lacks the clause that changes its interpretation. Build a test corpus containing multiple versions of a policy, near-identical customer names, contradictory draft notes, and a deliberately forbidden contract. Score retrieval separately from answer generation to reveal whether a misleading answer began with the search result or with the model’s synthesis.
Require source metadata in the trusted retrieval response: record ID, relevant version/effective date, permitted citation, retrieval timestamp and completeness. The user-facing answer need not expose internal identifiers, but the operator should be able to reproduce which authorized content was used. If the response cannot cite an approved source for a financial figure, it should not invent that figure; it should ask for a document or escalate to staff.
Be cautious when blending structured records and document chunks. A policy document may describe general rules while a Dataverse record holds the actual selected option for a customer. The agent can use both only if it can distinguish policy from customer-specific fact. If they conflict, a designed precedence rule or review process should decide; a language model should not silently pick the phrasing it finds more persuasive.
Avoid transferring Azure AI Search permissions to another product
If an AB-100 solution explicitly uses Azure AI Search for retrieval, the identity boundary includes the principal used for query execution, ACL metadata available to the index and any query-time permission filtering. An implementation of permission-aware Azure AI Search therefore needs negative tests in which an otherwise relevant record belongs to a different permitted audience. This mechanism must not be assumed for a Dataverse source or another Copilot Studio connector; confirm that integration’s actual enforcement model separately.
When a workflow uses multiple knowledge systems, document each one separately: SharePoint document access, Dataverse role and record security, indexed content permissions, and any external API’s authorization rules. The unifying requirement is that no result reaches the model unless its use is authorized for the current request. How that requirement is implemented varies by connector, identity mode, preview version and backend.
The same distinction applies to business documents uploaded directly to an agent. Access to the agent does not necessarily establish that every uploaded file is appropriate for every viewer. Determine how permissions and source changes are handled by the actual deployment design and reject sources that cannot meet the required isolation. Never use a broadly accessible staging corpus as a shortcut for confidential production data.
Test with denial cases, not only successful answers
A verification plan should include a customer viewing their own renewal, a similarly named customer trying to view another policy, a broker from the wrong region, a customer whose coverage changed yesterday, a revoked user and a policy document with a superseded effective date. Add an intentionally malicious policy excerpt that asks the assistant to ignore its instructions and copy private records. That excerpt is data, not an authorized command, and the agent should treat it as untrusted content.
For every case, record the authentication outcome, authorized source set, selected evidence, final response and any tool actions. A passing answer can still mask a serious defect if forbidden data was retrieved but the model happened not to mention it. Instrument retrieval boundaries, not merely final text. The security team should review denied calls as evidence that controls are active, while privacy-safe logs should avoid storing more customer content than operationally necessary.
Operational recovery matters too. If the Dataverse knowledge source is unavailable, the agent should disclose that it cannot confirm the current contract and route the customer appropriately. Falling back to an older static policy may be acceptable for general explanations but not for a binding customer-specific figure. Model these fallback choices before an outage rather than improvising under pressure.
Build a release gate around accountable data access
Before launch, the broker should have a signed source inventory, verified role mappings, least-privilege tool definitions, approved retention rules, data-residency assessment, tested revocation handling and a sample of source-backed answers with human adjudication. The product owner owns business correctness, the identity team owns access validation, the data owner approves which records may be retrieved, and the operations team owns ongoing monitoring. No single prompt engineer can substitute for those responsibilities.
Track access-denied rates, stale citations, unsupported generated claims, missing source versions and cases escalated because authorization was uncertain. A low denial rate is not automatically good if the tests never attempt forbidden reads. Preserve a targeted set of negative authorization scenarios across every new connector or environment release. The goal is useful assistance without weakening the protections already enforced by enterprise applications.
The official AB-100 study guide includes grounding, data processing and agent security. The October 14, 2026 English objective update is effective; align detailed exam requirements with the assessment date and language, since localized updates may be later. Regardless of those revisions, a safe grounding design must prove the source’s identity, freshness, allowed reader set and actual authorization result. A generated answer that cites material the caller should never have retrieved is an access-control failure even if its wording happens to be factually correct.
